Job Purpose:

The position will be responsible for developing standard operating procedures (SOPs) for the project, including roles and responsibilities for persons responsible for the development, review and approval of project-related matters, and managing the SOPs associated with our internal/external stakeholders, business operations, and IT systems use operations. This position helps to monitor best practices and changes in procedures and adjust the SOP documentation to ensure they are implemented by staff at all levels. It also keeps the track of the procedures and develop a centralized repository that can be accessed by staff to ensure SOPs upkeep and governance.

 

Areas of Responsibilities:

 

Process SOP Development & Support

  • lead the efforts and process to gather requirements to develop SOPs for processes developed within Technical Process Domain for KE Distribution
  • act as the supportive source of knowledge for all SOPs and internal policy documents
  • conduct the analysis and recommendations for SOP effectiveness
  • ensure escalation/communication of risks and issues as appropriate w.r.t documentation
  • assist Subject Matter Experts (SMEs) to document processes, develop flowcharts, and draft SOPs
  • review, suggest, revise, consult, and re-write existing SOPs
  • define the terminology used in SOP documents so they are clearly understood by all audiences that read and/or use them
  • review regulatory, SOP and other process documents for clarity and consistency
  • track all SOPs from creation to implementation including sending reminders for SOPs about to requiring review
  • meet with process design and process reengineering teams (AM/DM) to update any changes in processes
  • notify process design and process reengineering leads/managers when changes are made in SOPs
  • define, implement and maintain business processes and procedures to meet business objectives
  • support the development and implementation of policies and procedures necessary to support Operations processes
  • support SOP trainings and facilitation workshops in collaboration with the functional process design and reengineering team(s)
  • uptake additional tasks as may be assigned outside routine support and to perform special projects outside the normal scope of activities
  • work autonomously upon receiving clear and detailed objectives as well as to work closely with team leads to conduct follow up and to provide regular reports on overall progress and results

 

Status Reporting

  • prepare monthly, quarterly, and weekly progress reports/presentations for higher management, this includes but is not limited to; exceptional reporting, summarized reporting, KPI-based reporting, and mail-based escalations

 

Education & Relevant Experience:

  • Engineering/Business graduate
  • 1-2 years of post-qualification experience in writing SOPs, processes, procedures, user manuals and/or work instructions

 

Knowledge:

  • Understanding of business process and technical workflow within KE Distribution
  • Experience in using analytical approach to solve problems and complete unfamiliar tasks
  • Ability to establish immediate credibility with internal & external stakeholders and leaders
  • Understanding and familiarity with scientific terminology, regulatory writing styles, standards & procedures, and corporate language guidelines
  • Proficient in Microsoft Office and SharePoint
  • Demonstrated skills using Microsoft Visio to develop process flowcharts
  • Experience thriving in a dynamic work environment, balancing priorities for efficient workflow
