Job Purpose:

The  Admin Officer will oversee the management, coordination, and maintenance of the organization's vehicle fleet used for protocol and official purposes. This role ensures that all vehicles are operational, properly maintained, and efficiently utilized to meet the organization's requirements.

Key Responsibilities:

  1. Fleet Management:
    • Oversee the scheduling and allocation of vehicles for official and protocol purposes.
    • Maintain a detailed inventory of all vehicles, including their condition, service history, and usage records.
  2. Maintenance and Repairs:
    • Coordinate regular maintenance and repairs for all vehicles, ensuring they meet safety and performance standards.
    • Liaise with service providers and mechanics to address vehicle issues promptly.
  3. Driver Management:
    • Supervise and manage drivers assigned to the protocol pool, including scheduling shifts and monitoring performance.
    • Ensure drivers adhere to safety regulations and company policies.
  4. Logistics Coordination:
    • Plan and coordinate vehicle logistics for events, VIP visits, and other official engagements.
    • Ensure vehicles are clean, presentable, and stocked with necessary supplies before and after use.
  5. Record Keeping and Reporting:
    • Maintain accurate records of vehicle usage, expenses, and maintenance activities.
    • Prepare regular reports on vehicle status, including any issues, costs, and recommendations for improvements.
  6. Compliance and Safety:
    • Ensure all vehicles comply with legal and regulatory requirements, including registration, insurance, and safety inspections.
    • Implement and enforce safety protocols for vehicle operation and usage.
  7. Customer Service:
    • Provide excellent service to internal stakeholders, addressing any vehicle-related requests or issues with professionalism and efficiency.
    • Handle any concerns or complaints regarding vehicle operations promptly and effectively.

 

Qualifications:

  • Bachelor’s degree
  • Proven experience in vehicle fleet management / administration or a similar role.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of vehicle maintenance and repair procedures.
  • Familiarity with safety regulations and compliance standards.
  • Proficiency in Microsoft Office Suite and fleet management software.
